Large Meeting Pods: What Changes When Six People Need One Room?
If six or more people must participate in the same in-person meeting, start with a room arrangement for that whole group. Do not add stools to a four-seat booth or treat two separate pods as one larger room. Compare a purpose-designed larger enclosure with a suitable existing meeting room, then test the furniture and shared equipment against the actual work. A larger nominal capacity is useful only when the group can participate properly.

One group is a different purchase from several simultaneous calls
First establish whether everyone needs to be in the same physical space. A design workshop with shared drawings, a team discussion around one table and a customer review of a physical sample may depend on that arrangement. Two smaller rooms cannot replace it just because their seat totals match.
Other tasks can genuinely be split. Separate interviews or unrelated calls do not need one large enclosure, and buying one could reduce the number of independent spaces available. That is the decision covered by the pod quantity and capacity-mix guide. Here, the assumption is that one identified group needs a shared room; the question is which room arrangement can serve it.
Include remote participants in the description, but distinguish them from people physically occupying the room. Six local participants plus remote colleagues have different space and equipment needs from two people in the room speaking with six online. Do not use the total number of call invitees as the physical occupancy brief.
Start with the meeting task, not a row of extra chairs
A verbal update needs places for people to see and hear one another. A document review needs usable working surfaces for the people handling the documents. A hybrid meeting adds a shared display and camera relationship. A workshop may need a participant to stand, move between a table and a writing surface, or handle samples without preventing others from leaving.
Show the intended furniture and equipment on the same proposed plan. A table that creates enough nominal seat positions can still leave someone without a useful view of the screen. A bench arrangement can change how people get in and out. Neither a longer table nor a wider exterior establishes the usable room without the layout.

These are task-based rejection criteria, not prescribed clearances or an accessibility certification. The actual dimensional and code requirements belong in the project design. Do not derive an internal clearance by subtracting an assumed wall thickness from a catalog’s external dimensions.
Compare a larger enclosure with a room you can actually use
An existing conference room is a strong alternative when it is available for the recurring group, has the necessary equipment and can be reached by its users. Its mere presence on the floor plan is not enough if another department occupies it during every relevant meeting. Conversely, a rare large gathering may not justify permanently dedicating valuable floor space to another enclosure.
A larger modular enclosure becomes worth evaluating when the group need recurs, suitable rooms are genuinely unavailable, and the site can accommodate a complete usable arrangement. Do not approve it simply because it can be described as movable. Its proposed construction, delivery and future relocation scope need their own project basis, not a generic promise.
A standard smaller pod remains appropriate for a different, smaller task. Use the four-model comparison if the actual group fits that range. For two-person daily work with occasional four-person use, keep the decision in the existing two-person versus four-person guide. Neither guide should be stretched into evidence for a larger capacity.
A bigger meeting changes more than the shell
Specify the display position, camera, microphone or speaker arrangement as part of the task, without assuming these are included with the enclosure. A six-person discussion where everyone speaks needs a different equipment assessment from a presentation where one person leads. A camera’s advertised field of view alone does not establish a good experience for every seat.

Ask for the proposed ventilation and lighting arrangement for the stated group and use, rather than transferring assumptions from a smaller pod. More people and devices change the design question; this article does not assign an airflow rate, temperature result or permitted session length. Ventilation is not automatically air conditioning, and a larger room does not make an unspecified cooling solution adequate.
The supplier’s scope should identify the shell and factory interfaces separately from the chosen meeting system and site services. Use the existing cooling and ventilation scope guide for that distinction rather than adding an unverified equipment package to the meeting-pod order.
A hypothetical six-person design review
A team holds a recurring review with six people physically present. They place drawings on a table and discuss a shared screen; one participant sometimes stands to explain a revision. Assume an existing conference room is unavailable at those times. These are hypothetical requirements, not a MobileX client example.
A four-seat configuration with two loose stools does not demonstrate a suitable six-person solution. Two smaller pods also fail the stated task because the participants need to work around the same drawings. A larger enclosure is a candidate only if its actual plan accommodates that shared task, the screen relationship, normal entry and exit, and the site conditions.
If a suitable existing room becomes reliably available, it should return to the comparison. If the activity changes to three separate two-person conversations, the larger enclosure is no longer the obvious answer. If the team needs a workshop with substantial movement, a more adaptable conventional room may be a better fit than a densely furnished pod. Those changes alter the purchasing decision without requiring an invented space-saving or cost-saving percentage.
Request a larger configuration around a usable arrangement
Send a brief that shows what the group needs to do, not only “six-person pod.” The useful inputs are:
- People: normal and occasional in-room group size, remote participants and relevant access needs.
- Work: discussion, laptops, documents, presentation, samples or movement to a writing surface.
- Furniture and tools: intended table and seating arrangement, equipment dimensions and shared viewing requirements.
- Site: proposed location, available installation space and any building constraints already known.
- Decision alternatives: why an existing room or the standard two-/four-person range does not solve the recurring need.
Ask for a layout showing the proposed internal arrangement, external footprint, door operation and service interfaces together. Price the viable configuration after those elements are defined. Use the published price guide only for its stated standard-model reference scope; do not extrapolate a custom six-person price by multiplying a smaller model’s price per seat.
